Is Messages the same as WhatsApp?

No. Messages is the discussion inside BuildTrack, between your own team, on a job, lead, quotation or invoice. WhatsApp is how you talk to customers and how enquiries become leads.

Where do I write a message?

Open the job, lead, quotation or invoice and use Discussion. The box says Message…. Messages in the sidebar collects those threads so you can answer without opening each record.

How do I notify a teammate?

Type @ and pick their name in the message. They see it in Messages. This does not send a WhatsApp to the customer.

Can the customer read the discussion?

No. Discussion is internal. Customers see what you send them: the quotation, invoice, Progress Claim or progress report. They do not see team messages.

Who can use Messages?

Anyone who can open the record can read and write on its discussion, within their role. Crew do not see quotations or invoices, so they do not see those threads. They can discuss a job they are assigned to.

Messages are for your own team. Write on the job, lead, quotation or invoice, mention a colleague, and pick the thread up later from Messages. Customers are reached on WhatsApp, not in this inbox.

Discuss the record with your team

Open the job, lead, quotation or invoice and use Discussion. Type in Message…. The thread stays on that record.

Write the note
Decisions, site questions and handovers belong here, not in a private chat that the next person cannot find.
Mention someone
Type @ and pick a teammate. Their Messages list shows the thread.
Attach proof
Add a photo or file on the message when the words are not enough.

Messages is the inbox

Messages in the sidebar lists discussions across records, newest activity first. Open one to reply without hunting for the job. Customer WhatsApp stays under Leads and WhatsApp Business.

Do not put prices in a job discussion if Crew are on that job. Crew can read the job thread and must not see quotation amounts. Commercial talk belongs on the quotation or invoice, which Crew cannot open.
