Request quotes from suppliers

Ask several suppliers to price the same materials, compare their rates side by side, then award and turn the winners into draft purchase orders.
Create a request for quotes
Procurement lists your requests and shows how many quotes are waiting for you to review. Press New request.
Request title and delivery address
Both are required. Choose a job site, or Home base if there is no project yet. Add Needed by if the date matters.
Items
Describe each item and enter the quantity and unit. Add as many items as you need.
Suppliers
Search your supplier list and add the ones to ask. Keep merchants under Suppliers first. A supplier is not a subcontractor.
Allow partial quotes
On by default. A supplier who quotes only some items is tagged with how many items they covered. Turn it off to require every item.
The request is saved as a draft until you open it.
Send it to suppliers
Open the draft and press Open request for quotes. Each supplier gets a link. Send it with the WhatsApp or Email button beside their name. BuildTrack does not send the message for you: it opens your own app with the link ready. Suppliers reply on a mobile page without signing in.
Compare and award
Under Compare quotes, each item shows every supplier's rate, with the lowest marked. The lowest rate is picked for each item. If you pick a higher one, say why, so there is a record.
Check the total
Your order shows each supplier's items, their delivery charge and the grand total, and how many deliveries to expect.
Award and create POs
This creates one draft purchase order per winning supplier. Review and send each one. See Order and receive materials.
From a sales order
On a sales order, press New request or New purchase order in the supplier steps. The record stays linked to the order, and the step ticks itself when the requests are awarded and the purchase orders are sent and received.
After you order
Receive the delivery on the job and check it against the order: Order and receive materials. To ask subcontractors to price trade work, use Subcontractor bids on a tender.
